IT-information for new students

Welcome to UCL University College

Here at UCL University College, we make use of several technologies to support your learning and provide students with a good and meaningful learning process.

In order to make sure that you get the best possible start to your educational journey, we have gathered some guides here to get you going. We recommend that you read all the guides about the technologies used at UCL University College, after which you will be well on your way to a successful commencement.

Even before study start you can

Before study start you can begin using the technologies from home.

  • You can find your username - see the section Login below
  • You can change your password - see the section Login below
  • You can access itslearning - see the section itslearning below
  • You can register your devices (PC, Mac, tablet, smartphone) to use UCL's Wi-Fi - see the section Wi-Fi below
  • You can install a free Office 365 - see guide here
  • You can subscribe to SMS-service and get updates from IT Operating Status

When you finish your studies

30 days after you finish your studies at UCL, your UCL account and everything you have had access to with your UCL account, eg itslearning, Google and OneDrive, will be deleted. Therefore, be sure to save everything you want to preserve before your UCL account will be deleted.


At the earliest you can expect to have access to our IT facilities 14 days before study start.

You can find your username at https://netid.ucl.dk.

The start password is Ucl + your social securitynumber, for example Ucl1234567890. 

Note: It can take up to 2 days from the UCL username is available until it can be used to log in to itslearning.

Remember to change the password, so that others can't figure out, what your password is.

You can change your password at https://pws.ucl.dk.

Provide Username and Password and Sign in.

Students at the business academy also have an Unilogin. The password for Unilogin can be found/changed here.

UCL e-mail (Outlook)

UCL's e-mail-system for students is utilized via webmail. 

All Students at the University College log in at http://mail.edu.ucl.dk with username@edu.ucl.dk .  

Notice that your username and email-address might not be identical.

Printing and copying

You pay for printing and copying via EasyPay.

At the same place, you can also see the balance on your printing account, and it's possible to transfer money to a fellow student's printing account.  
Students can print from privately owned devices (PC, Mac, tablets, etc.).


It's possible to scan at UCL's copiers.

Log in at the copier in the same way as with copying.

Find the function "Scan" on the copier's display.

Follow the instructions on the display.

Choose the "E-mail me" function or type an e-mail address.

The document will be scanned into a PDF-file that will be sent to the e-mail address that you have chosen. You can only send it to e-mail addresses that end with ucl.dk.

Students don't pay for scanning, but they can only log in on the copier, if they have money on their printing account. If you need to scan, but you don't have money on your printing account, you must log in as a Public user.


To log in on UCL's Wi-Fi, students must register their devices (PC, Mac, tablets, etc.) via "UCL-MyDevice", after which the device will automatically connect to "eduroam", when it is within the reach of UCL's Wi-Fi.

You do not need to be at UCL to register your device. It only requires an internet connection.

Note that some functions may be blocked, if you connect your smartphone to the Wi-Fi, such as G-mail.

Standards for contact and behaviour

The purpose of these guidelines is to describe the standards for good and considerate behaviour, which apply to all students and course participants in UCL University College (UCL). The guidelines further more apply to all invited and non-invited visitors who are present in the physical locations belonging to UCL.

The described legal effects start once the student have been offered a study place in a fulltime or part-time education or whenever the student walk in to a physical location, which belongs to UCL University College.

The guidelines also describe the sanctions, which will be imposed on persons who do not respect the described standards and guidelines including the conditions for expulsion and police report.

GDPR-Personal data rules for students

Personal data

If you collect other people's personal data to use for an assignment, it must be done in compliance with the rules regarding GDPR. See more on the 4 topics below:

Guidelines for student use of personal data

As a student at UCL College, you can work with personal data in different situations. It can e.g happen if you collect information about people for a project, assignment or exam, if you or other students include personal data in teaching, or in connection with internship or clinic.

Retention of personal data for students

If you process personal data, they must be stored so that no unauthorized person can access the personal data. Remember that you must delete or anonymize the personal information when you no longer need it.

  1. Click on your education's "(XX) Info for all" course under Courses in itslearnings menu
  2. Then click "Resources"
  3. To the left, you can then see a folder named "Studiestart" where materials concerning your education will be placed.


The materials will be available by Monday, August 17, 2020.


It is very important that you as students know who you are communicating with, both other students and teachers.

In the calendar in itslearning you can see your schedule. If your schedule does not appear when you log in, wait a few days and try again or check TimeEdit. Follow your schedule regularly as changes may occur!


Install the itslearning app from the App Store or Google Play so that you can receive notifications while on the road.

Collaboration Tools

You really have a lot of group work throughout your studies and, as mentioned above, we do recommend that you work online whenever possible. In order for you to do this, you need access to the proper online cooperation tools where you can develop products both at the same time or independently.

In itslearning you can link to OneDrive as well as Google Apps documents.


As you log in to Google, you will find an array of excellent tools corresponding to documents, powerpoint presentations, questionnaires and spreadsheets. The unique difference is that you can work in them simultaneously from your own computer, tablet or smartphone regardless of where you are, so long as you have Internet access.  

Always use your UCL login (UCL mail as username) when working in Google during study hours and let your private Gmail stay private.


OneDrive contains the classic Office programmes for editing documents, presentations, websites, questionnaires, spreadsheets and much more.

On top of that, it is a Cloud drive that stores and synchronises your work so that you can work simultaneously from your own computer, tablet or smartphone regardless of where you are, so long as you are connected to the Internet.

Use your UCL login (same username as used for Outlook) to gain access.

Office 365

30 days after you finish your studies at UCL, your UCL account and everything you have had access to with your UCL account, eg itslearning, Google and OneDrive, will be deleted. Therefore, be sure to save everything you want to preserve before your UCL account will be deleted.


Students at UCL University College have access to Studietube.

Studietube contains tools that enable you to make portfolios and log books, edit videos and pictures, create presentations, mind maps, blogs, wikis, podcasts, screen recording and much more. There is great variety to be found in terms of customizing the form and format of your content.
